Quasydoc at Americol.
What is the trigger?
With the departure of the KAM coordinator and new requirements from ISO 9001, Americol decided to enlist the help of Précon. Précon began by conducting a baseline measurement to assess the extent to which Americol was in compliance with ISO standards. We then looked at the systematics behind the quality management system at Americol. As with many companies , Americol kept action lists in various Excel files. A labor-intensive and static process. The baseline measurement gave sufficient reason to start automating document management, inspection rounds and corrective & preventive actions.
Actions after baseline.
A number of areas of concern emerged from the baseline measurement. For example, Précon revised the quality management system and reduced the number of documents to what was necessary, creating a lean quality manual. The quality manual was immediately digitized in Quasydoc. Americol experiences great convenience from this: there is overview and structure because the documents are directly linked to the ISO standards. Also, the documents are accessible to everyone, including the employees on the work floor.
Various inspection rounds have also been set up or expanded, for example in the areas of hygiene and glass & hard plastic. The forms are created digitally in Quasydoc, as is the planning of the inspection rounds to be run. Because inspection rounds are performed via a cell phone, a report, including the photos taken, is generated immediately and necessary actions are set out. Martin van den Booren, Plant Manager, says that this has "saved an enormous amount of time and it gives more involvement of employees in the quality management system." Furthermore, Martin says that you are always "in control. He experienced this recently when he returned from vacation: "I saw at a glance on my dashboard which actions had been created for me."

The periodic actions module is also filled. The colleague concerned receives an e-mail when the recall test, supplier assessment or calibration must be performed. In this way, the actions to be performed remain in view, colleagues are automatically informed and timely action can be taken. The added value of Quasydoc is thus proven. "By working with Quasydoc, our quality system has become dynamic." says Martin. Results are registered in one place, this way compliance can easily be demonstrated. During audits, this also provides enormous time savings.
Continued collaboration
Précon supports Americol on a monthly basis to keep the quality system up to date and perform internal audits. Now that Americol has experienced the added value of Quasydoc from the implemented modules, Americol wants to use Quasydoc for the supplier complaints, non-conformities and human resources modules as well.

Americol develops, manufactures and distributes skin care and hand hygiene products, cleaning products, hand soaps, disinfectants and maintenance products for both industrial and household use.
