What is it with specification management? It remains one of the most time-consuming and administrative jobs in the quality department of almost every food company. Yet it also requires knowledge and experience from the employee responsible for specification management. That knowledge and experience is needed to provide a properly completed specification immediately. But also to quickly and easily obtain the correct data from suppliers.
It is common knowledge that the job of keeping up-to-date is enormous. And the amount of information that needs to be requested from raw material and packaging suppliers is not diminishing, but increasing.
Many of our customers report that they are struggling with "overdue maintenance. Recipes have been changed, raw materials have been replaced, but of course this must also be updated in the systems.
In addition to the legally required information about recipe, origin, allergens and nutritional values, a specification also contains additional information about the product, packaging and distribution. This could be organoleptic and microbiological data, but also type and weight of packaging material, food safety certificates, seals of approval, VITAL calculations or Nutri-Score. Data that often has to be requested from third parties and also often requires time and conviction to surface.
Not surprisingly, many of our consultants are assigned to the specification management department. An extra pair of hands with a direct focus on specification management can ensure that the backlog is cleared within a short time.
By deploying our consultants for specification management at both producers and retailers, they have extensive experience in various required systems, such as ERP, Quasydoc, SIM, PIMDAM, PS in Foodservice and TraceOne. But also, for example, with product declarations in GS1, BLK, SKAL or Rainforest Alliance.
The wishes and requirements of the various retailers are also known to our consultants, so that the correct data are requested and entered and the specification does not have to be sent back and forth endlessly between producer and retailer. The relevant protocol is applied directly.
Our consultants work daily to input and verify specifications. This can be done either on site or remotely, entirely depending on the specific situation. Due to the large number of consultants with experience in specification management, we have someone available quickly to ensure that the backlog is caught up and specification management is completely up-to-date again!
